Attendance

I promise to respect the time, effort, and money it takes to get your child to our tutoring session each week. I dedicate myself to showing up on-time for sessions. If I can’t attend a scheduled tutoring session, or will be late, I will notify you as soon as I possibly can to allow you to plan accordingly.


I work hard on lesson plans each week to ensure your child’s session is packed full of learning from beginning to end, therefore, it’s important that your child arrives on time. All sessions will begin at their scheduled start time and end 50-60 minutes after the scheduled start time.


If you experience technical difficulties that are preventing you from logging into your child’s online tutoring session, it is your responsibility to reach out to let me know. In some cases we may be able to extend the session to accommodate - but it might not always be possible based on the schedule.


If your child is more than 5 minutes late to our planned session, I will try to reach out via text or email to make sure everything is okay. If your child is 15 minutes or more late to their tutoring session and I haven’t heard from you, I will sign off and the session will be counted as a “no-show” and no reschedules will be offered.


** Chronic “no shows” or 15+ minute late sign-ons may result in me not offering a renewal of your tutoring package. In order to reach your child’s learning goals, consistent attendance is important.

Cancellation

I understand that there are times when a session will need to be canceled or rescheduled. Please abide by these guidelines when doing so:


24 hours’ notice is required for all session cancellations and re-schedules. The more advanced notice the better! Your advanced notice allows me to schedule with students who need reschedules and extra help. If 24 hours’ notice is not given, a re-scheduled session will not be offered and a refund will not be given.


I understand that illnesses or other emergencies may cause you to cancel with less than 24 hours’ notice. If you’re experiencing an emergency and won’t be able to attend tutoring, please reach out as soon as you’re able. In these cases, a reschedule may be offered at my discretion.


If your child has had a permanent change in schedule due to sports or extracurricular activities that interferes with their tutoring time, it’s your responsibility to reach out to discuss permanently rescheduling your child’s weekly sessions.


I hold myself to these policies and will let you know ASAP if I must miss due to an illness or family emergency. In addition, I try to give at least one week’s notice before I am out for appointments, vacations, etc.


** Chronic late cancellations may result in not being offered a renewal of your tutoring package.

Supervision

A parent, guardian, or other trusted adult must be present at the location where tutoring is taking place for the duration of the session.

I use Acuity for all tutoring scheduling and reminders. You should receive multiple text and email reminders through Acuity before each tutoring session. I try my best to ensure these reminders are accurate - if you see any discrepancies in the reminders you’re receiving, please reach out and let me know.


I know that email and text reminders can get overwhelming for some. If you choose to opt out of text or email reminders from Acuity, please ensure you have other systems in place to remember your tutoring session.

Preparedness

In order to fully benefit from our time together, your child needs to show up ready and prepared for our tutoring session. If there is important information (such as homework) that needs to be addressed in the tutoring session it is helpful if you can get it to me ahead of time.


If possible, please log into your tutoring session a few minutes before it is scheduled to start. This will allow you time to troubleshoot any technical difficulties your computer may have before the session begins.


Online students are expected to have the needed supplies and equipment when logging into tutoring. This includes:

  • Headphones

  • Working microphone and webcam

  • High-speed internet

  • Mouse (no trackpads)

  • Paper and pencil

  • Additional materials needed (workbook, homework, test review, etc.)

** Please ensure the device your child is using is charged and/or the charging cable is readily available during the session. This keeps us from losing important learning time.

If you would like for me to have contact with your child’s teacher, please sign this information release form and email it to hoffmantutoringgroup@gmail.com

Payment

Payment is due before scheduling tutoring sessions. Refunds are not available unless tutoring has been terminated and are at the discretion of HTG. All refunds will be issued as a check.

No Guarantees

Each child progresses at a unique rate based on their own circumstances. I make no guarantees when it comes to progress, grades, or standardized testing results. If you’re worried your child isn’t making adequate progress during their tutoring sessions, please don’t hesitate to reach out. I take your concerns seriously and am happy to set up a conference.

Concerns

If you have any concerns or complaints about your child’s tutoring experience you can always contact me directly at hoffmantutoringgroup@gmail.com. I try to be very proactive in communication and send weekly updates on what we’ve been working on in tutoring. These emails are a great opportunity for you to respond with concerns or questions you have about your child’s math education.
